Privacy policy — CamScanPDF

The short version: we store your email address and the documents you scan, only so we can give you the service. We don't sell your data, we don't show ads, and we don't use tracking or analytics cookies.

This policy explains how CamScanPDF ("we", "us") handles personal information when you use the website at www.camscanpdf.com and the app at app.camscanpdf.com. CamScanPDF is operated from South Africa and is used by people around the world. We process personal information in line with South Africa's Protection of Personal Information Act (POPIA), and we respect the equivalent rights you have under the data protection laws where you live, such as the EU and UK GDPR.

Who is responsible

CamScanPDF is the responsible party for your personal information. You can contact us, including our information officer, at hello@camscanpdf.com.

What we collect

Account details: your email address and a securely hashed version of your password. We never store your password in readable form.
Your scans: the photos you upload, the processed pages and PDFs, document titles, and the text recognised in your pages (OCR).
Technical data: like any website, our server records basic request information (such as IP address, time, and browser type) in short-lived logs for security and troubleshooting.

Your scans may contain personal information about you or other people (for example, an invoice or ID document). You're responsible for having the right to scan the documents you upload; we only process them to provide the service to you.

Why we use it

To create and secure your account and let you sign in.
To process your photos into cropped, cleaned-up, searchable PDFs and keep them in sync across your devices.
To keep the service secure, prevent abuse and fix problems.
To contact you about important changes to the service, such as changes to these terms or the introduction of paid plans.

We do not use your documents to train AI models, we do not read your documents unless you ask us to help with a problem, and we do not sell or rent your information to anyone.

Cookies and storage on your device

We use only the cookies needed to keep you signed in. There are no advertising or analytics cookies. The app also stores data on your device (such as a cache of your documents and a queue of pages waiting to upload) so it works quickly and offline. Signing out or uninstalling the app removes it.

This website loads its font from Google Fonts, which means your browser connects to Google's servers to download it.

Where your information is kept

Your data is stored on a server we manage. If you use CamScanPDF from another country, your information may be transferred to and stored in a country other than your own; we protect it with the same safeguards wherever you are. Data is encrypted in transit using HTTPS, and each account can only access its own documents. No method of storage is perfectly secure, but we take reasonable technical and organisational measures to protect your information, as data protection law requires.

How long we keep it

We keep your documents for as long as you keep them in the app. When you delete a document or page, its images and PDF are removed from our server straight away. If you ask us to delete your account, we delete your account and all your documents. Server logs are kept only as long as needed for security and troubleshooting.

Sharing

We don't share your personal information with third parties, except where the law requires it or where it's needed to protect the rights and safety of our users or the service.

Your rights

Depending on where you live (for example under POPIA in South Africa or the GDPR in the EU and UK), you have the right to:

ask what personal information we hold about you and get a copy of it;
ask us to correct or delete your personal information, or to give you a copy of your documents;
object to how we process your personal information; and
lodge a complaint with your local data protection authority, or with South Africa's Information Regulator at inforegulator.org.za.

Children

CamScanPDF is not aimed at children. If you're under 18 (or the age of digital consent where you live), please use it only with the permission of a parent or guardian.

Changes to this policy

If we make important changes, we'll update the date at the top and, where appropriate, let you know by email or in the app.
